Paperless-ngx is a powerful open-source document management system that enables you to digitize and archive all paper documents in a revision-safe manner. As a hosted solution at Nextfiles, you benefit from a fully configured instance that is immediately ready for use – without any server administration on your part.
The system transforms physical documents into searchable digital files through automatic OCR text recognition. Whether invoices, contracts, correspondence or receipts: every document is automatically captured, categorized and can be found within seconds via full-text search.
The integrated OCR engine (Optical Character Recognition) automatically detects text in scanned documents, photos and PDFs. This means that even handwritten notes or hard-to-read receipts are converted into searchable text. Text recognition supports multiple languages and works in the background – you do not need to worry about anything.
Paperless-ngx offers a flexible tagging system that lets you organize documents according to any criteria. Create custom tags, assign correspondents and use custom fields for your individual requirements. Over time, the system learns your filing habits and can automatically pre-classify new documents.
Documents enter your archive through various channels: Email import automatically processes incoming messages with attachments. Watchfolders allow you to monitor directories – any file placed there is automatically imported and archived. This creates a seamless digital workflow without manual intermediate steps.
Paperless-ngx can be directly integrated into your existing Nextcloud via the External Files function. This allows you to access archived documents from within the familiar Nextcloud interface without switching between different applications. The integration creates a unified workspace for all your files and documents.
Nextfiles offers you two hosting options: The root plan gives you full root access to your server, allowing you to configure Paperless-ngx to your specifications. The Managed plan takes all administrative tasks off your hands – updates, maintenance, security patches and technical support are included. Both plans include 4 vCPU, 8 GB RAM, 1 TB data storage and 80 GB server storage.
